Job Summary:
The Office Assistant is responsible for maintaining housekeeping and assisting in the smooth operation of office functions by performing a combination of administrative, clerical, and general support duties. This role plays a key part in maintaining a clean, organized, and efficient work environment while also providing essential support services to admin staff and visitors.
Key Responsibilities:
- Assist in daily administrative and clerical duties such as photocopying, filing, scanning, and recordkeeping.
- Handle incoming and outgoing correspondence, including letters and courier dispatches.
- Maintain the cleanliness and tidiness of the office premises, including common areas.
- Support in setting up meeting rooms, arranging materials, and ensuring timely refreshments.
- Upon the supervisor's instructions, carry out minor procurement of office and kitchen supplies, and support stock maintenance. This includes collecting quotations and procuring items from the market.
- Perform errands such as delivering documents or purchasing supplies from local markets.
- Coordinate with vendors, service providers, and maintenance staff as required.
- Assist in organizing and shifting files, materials, or equipment within the office.
- Ensure the reception area is always welcoming and presentable, including hosting guests at first place.
- Report any maintenance issues or safety concerns to the admin officer.
- Provide additional support to the admin or program team as directed.
Skills and Competencies:
- Ability to follow instructions and work with minimal supervision.
- Willingness to take initiative and demonstrate a flexible attitude.
- Good communication and time management skills.
- Respect for confidentiality and professional conduct at all times.
- Preferably, a motorbike holder with a valid license.
