Job Purpose:

To ensure efficient procurement, warehousing, and distribution of emergency relief items (shelter kits, WASH supplies, NFIs) for flood-affected communities in KP, while maintaining compliance with organizational and donor procurement guidelines.


Key Responsibilities:

1. Emergency Procurement

  • Process rapid procurement requests for flood response items:
    ✓ Shelter materials (tarpaulins, tents, toolkits)
    ✓ WASH supplies (hygiene kits, water purification tablets)
    ✓ NFIs (blankets, kitchen sets)
  • Maintain emergency supplier database with pre-qualified vendors
  • Prepare comparative bids analysis while ensuring cost-effectiveness

2. Warehouse & Inventory Management

  • Supervise stock receipt, storage, and dispatch from central/field warehouses
  • Maintain bin cards and stock registers with daily updates
  • Conduct weekly physical inventory counts
  • Ensure proper storage of temperature-sensitive items (medicines, food)

3. Distribution Support

  • Prepare waybills and delivery documentation
  • Coordinate with field teams for last-mile distribution to flood victims
  • Verify beniciary receipts during distributions

4. Fleet & Asset Management

  • Schedule vehicles for supply deliveries and staff movements
  • Maintain fuel consumption logs and vehicle maintenance records
  • Tag and track all project assets (generators, equipment)

5. Compliance & Reporting

  • Ensure all procurements follow organization/donor rules 
  • File complete procurement dossiers (POs, invoices, delivery notes)
  • Submit weekly stock movement reports

Emergency-Specific Duties:

  • Activate 24/7 procurement tracking during rapid response
  • Establish temporary field warehouses in disaster zones
  • Coordinate with PDMA/NDMA for customs clearance of imported relief items

Qualifications & Experience:

Essential:

  • Bachelor's in Supply Chain/Commerce/Business Admin OR Diploma with 2+ years experience
  • Minimum 2 years in emergency logistics/procurement (NGO/INGO preferred)
  • Familiarity with KP market rates for relief items
  • Proficiency in:
    ✓ ERP systems (e.g., Navision)
    ✓ Advanced Excel (pivot tables, inventory formulas)
    ✓ Urdu/Pashto (field coordination)
