REQUEST FOR SEALED QUOTATION (RFQ)

Subject: Supply of Furniture & Fixtures for HDF School – Mardan Region

Human Development Foundation (HDF) invites sealed quotations from reputable, registered, and experienced suppliers/vendors for the supply and delivery of furniture and fixtures for its school in Mardan Region.

Interested suppliers are requested to submit their sealed financial quotations in accordance with the specifications, quantities, terms and conditions provided in the RFQ.

1. Scope of Supply

The required furniture and fixtures include, but are not limited to:

Detailed technical specifications and minimum quality requirements are provided in the attached BOQ/RFQ document.

2. General Requirements

1. All items must be A-Quality, brand new, unused, and suitable for institutional/school use.
2. The quoted items must strictly comply with the specifications and minimum quality requirements provided by HDF.
3. Suppliers are required to quote unit rates and total rates for each item.
4. Prices must be quoted in Pakistani Rupees (PKR) and should clearly indicate all applicable taxes and charges.
5. The quoted prices shall include all costs related to transportation, loading/unloading, delivery, installation/assembly, fixing, and other associated expenses, where applicable.
6. HDF reserves the right to inspect the supplied items before acceptance.
7. Any item found defective, damaged, substandard, or not according to the approved specifications may be rejected and shall be replaced by the supplier at its own cost.
8. The supplier shall be responsible for safe delivery of all items to the designated HDF school/site in Mardan Region.
9. Suppliers may be required to provide samples, catalogues, photographs, or technical details of the proposed items for evaluation, where requested by HDF.
10. HDF reserves the right to accept or reject any or all quotations, in whole or in part, in accordance with its procurement policies.

3. Quotation Submission

Interested suppliers are requested to submit their sealed quotation clearly mentioning:

“Quotation for Supply of Furniture & Fixtures – HDF School, Mardan Region”

The quotation should include:

• Supplier/Company name and complete address
• NTN/GST registration details, where applicable
• Contact person and contact number
• Detailed item-wise unit rates
• Applicable taxes
• Total quoted amount
• Delivery period
• Quotation validity
• Payment terms
• Authorized signature and company stamp

4. Submission Deadline

Last Date & Time for Submission: September 21st, 2026, Monday 03:00 PM.

Quotations received after the specified deadline may not be considered.

5. Evaluation & Award

Quotations will be evaluated based on compliance with the required specifications, quality, price, delivery timeline, supplier experience, and other applicable HDF procurement criteria.

HDF reserves the right to conduct technical/physical verification of the quoted items and may seek clarification from suppliers where required.

The purchase order/contract will be awarded to the successful supplier(s) after completion of the evaluation and approval process.

6. Payment

Payment will be made in accordance with HDF's applicable payment terms after successful delivery, inspection, and acceptance of the supplied items, subject to submission of the required invoice and supporting documents.
